As an Operations Executive, you are the enabler of programme delivery and implementation. You collaborate with all relevant parties to secure, manage and distribute resources to empower our ambitions. You get to engage with the entire organization, external stakeholders and with programme participants alike.
Responsibilities
KEY RESPONSIBILITIES:
In this role, you will:
1. Coordinate with external stakeholders:
-Collate and create databases of potential clients and partners across both corporate, government and educational institutions.
-Collate and create databases of potential venues for free training.
-Perform introductions and negotiations to agree mutually beneficial agreements with venues.
-Coordinate with clients regarding logistics for training events including distribution of materials and goody bags.
-Project management of certain key and complex programs
2.Coordinate with internal stakeholders
-Manage the logistics of training events.
-Maintain inventories of equipment (projectors, whiteboards, flipcharts, markers, etc) either electronics) and other items, and distribute such items upon request;
-Coordinate with programme teams for necessary resources for programme delivery;
-Maintain data in HRDCorp Etris system.
-Track HRDCorp grant claims, invoicing and payments.
-Track client claims, invoicing and payments.
-Use the CRM system to develop databases for email marketing campaigns.
-Align with marketing for all campaigns across social media, paid and email.
-Manage the marketing results dashboard.
-Issue e-certificates or printed certificates for educational programs;
-Create SOPs and operational standards to improve processes.
Requirements
QUALIFICATIONS:
To be shortlisted for this position, you will need to have:
-A bachelor degree in a relevant field (Business Administration, Operations management etc.);
-Administration, operations or related work experience, however exceptional fresh graduates would still be considered
-Ability to coordinate with suppliers and service providers;
-Minimum B1 proficiency (Band 4 MUET) in English and Bahasa Malaysia, written and spoken;
-Working knowledge of Google Workspace and digital skills for work;
-Ability to understand and work with research and data;
-Ability to plan budgets and track expenses;
-Strong organizational skills;
-Excellent interpersonal and communication skills;
-Eye for detail and a focus on improvements.
