About the Role
The position is full-time and requires working in our Kuala Lumpur office at least three days per week.
As an Associate, you will be part of the Partnerships team, responsible for supporting the coordination of stakeholder engagement efforts to strengthen collaborations with education institutions, funders, policymakers, and other key partners.
The individual must at all times ensure effective coordination of partnership initiatives, maintain strong relationships with stakeholders, and support the development of strategic collaborations.
This role involves conducting research to identify opportunities, managing relevant documentation to enhance engagement efforts, and tracking and analysing partnership outcomes.
The Associate reports to the Director of Partnerships.
Responsibilities
Duties and Responsibilities Responsibilities include but are not limited to the following:
A) Stakeholder Engagement and Coordination
Work with the Director of Partnerships and Executive Director to:
Organise and schedule partnership meetings with key stakeholders, including educational institutions, funders, and policymakers.
Take detailed meeting notes, track action points, and follow up on next steps to ensure proper documentation and communication of partnership progress.
Handle administrative processes related to partnerships, such as presentation and
documentation preparations to support successful discussion.
Maintain a database of stakeholders and work with Pillar and Operations teams identify future opportunities for continuous relationship building.
Support the planning and execution of stakeholder engagement activities such as networking sessions, collaborative projects, and knowledge-sharing forums.
Assist in developing stakeholder engagement strategies via documentation and material preparation to strengthen relationships and foster long-term collaboration.
Coordinate communication between internal teams and external stakeholders to ensure alignment on partnership objectives and deliverables.
Execute any assigned tasks by the Director of Partnerships and the Executive Director.
B) Partnership Identification and Development
Work with the Director of Partnerships and Executive Director to:
Conduct research on the education landscape in Malaysia to identify gaps, trends, and potential partnership opportunities.
Support the development of concept notes and proposals that align with the organisation’s mission and objectives.
Collaborate with internal teams to refine partnership strategies based on research insights.
Explore funding and grant opportunities by researching potential donors, grants and funds, and support the preparation of relevant applications.
Analyse, visualise and summarise partnership impact and effectiveness through data tracking and reporting, ensuring alignment with strategic goals.
Execute any assigned tasks by the Director of Partnerships and the Executive Director.
C) PEMIMPIN Alumni Management
Work with the Director of Partnerships and Executive Director to:
Identify and coordinate partnership opportunities that enhance alumni engagement and professional development.
Organise events, networking sessions, and collaborative initiatives to connect alumni, industry players, and academic stakeholders.
Support communication efforts to keep alumni informed and engaged with opportunities.
Build, maintain and share insights from an up-to-date alumni database, track engagement levels, and analyse trends to improve alumni related activities.
Facilitate mentorship and peer learning opportunities by connecting alumni with current program participants and relevant stakeholders.
Assist the development of initiatives to recognise and celebrate alumni achievements to strengthen their connection with PEMIMPIN and inspire continued involvement.
Execute any assigned tasks by the Director of Partnership and the Executive Director.
Requirements
Required Competencies
Passion for PEMIMPIN’s mission and the movement, with a desire to operate within
PEMIMPIN’s vision and values.
Ability to communicate ideas effectively and critically, both verbally and in writing, especially in Bahasa Melayu and English.
Ability to be diplomatic and build and maintain relationships with diverse stakeholders for effective coordination and engagement.
Organised and detail-oriented in managing information, partnerships, scheduling meetings, tracking action points, and following up.
Strong research/analytical skills to identify education trends, gaps and opportunities.
Adaptability and collaborate effectively in a fast paced, deadline-driven environment.
Strong proficiency in Google Workspace platforms.
Who should consider this role
A Bachelor’s degree in any field with at least 2 years of relevant work experience in
partnership management, stakeholder engagement, or related fields.
Proven experience in stakeholder and/or community engagement, organising events, programmes or activities, including from co-curricular, volunteer or student-led initiatives.
Prior experience as an educator, tutor, mentor or facilitator is highly desirable.
Strong ability to build and maintain relationships with diverse stakeholders, including funders, policymakers, and education institutions.
Experience in non-profit organisations or social sectors is an added advantage.
