As an Operations Officer, you are the enabler of programme delivery and implementation. KEY RESPONSIBILITIES:
In this role you will:
1.Coordinate with external stakeholders:
Coordinate and ensure building maintenance activities and needs (aircon service, office furniture, students’ dorm furniture and electronics, cafeteria, toilets etc.);
Coordinate with donors for pick-up, drop-off or collections of donated items;
Manage the groceries in the cafeteria;
2.Coordinate daily operations and building facilities
Manage the time and activity of the cafeteria staff;
Maintain inventories of equipment (laptops and either electronics) and other items, and distribute such items upon request;
Coordinate with programme teams for necessary resources for programme delivery;
Manage petty cash and budgets;
Survey the market, prepare quotations and procure items;
Manage and coordinate food, technology set-up (sound systems, projectors), room set-up for events (ie. training sessions, townhall etc.);
Warden the students occupying the dorms - check cleanliness, make sure the students execute cleaning tasks, etc;
Issue e-certificates or printed certificates for educational programmes;
Create SOPs and operational standards to improve processes.
Requirements
EXPECTATIONS:
In this role you will be expected to:
Demonstrate passion, motivation and care in serving the B40. Our mission is to enable the B40 to achieve middle class outcomes, so that they come and stay out of poverty, and you play an important role in achieving that. You need to act with a strong sensitivity towards the reality and needs of the communities we serve.
Collaborate with all departments and project teams. It’s important that you’re comfortable to engage, reach out, and communicate with everyone.
Be on stand-by for emergencies. The Operations function looks into our space and facilities, and, if anything malfunctions and requires urgent attention, you may be needed to attend to it.
Adapt to the needs of the community and various programmes we work with. The lives and needs of our participants are complex and changing. To be able to support them, we have to keep up, and constantly adjust and improve our services.
Be in the community. You need to know who you serve, so you have to meet them where they are. You will need to travel independently or with the team to Orang Asli, rural, urban communities, and partner locations, and engage with participants in-house.
Be enthusiastic and driven to learn and self learn. We serve the B40 mainly through education, so it is essential that we are learners, seekers, and open to make mistakes and grow from them.

QUALIFICATIONS
To be shortlisted for this position, you will need to have:
A bachelor degree in a relevant field (Business Administration, Operations management etc.);
Administration, operations or related work experience;
Ability to coordinate with suppliers and service providers;
Minimum B1 proficiency in English and Bahasa Malaysia, written and spoken;
Working knowledge of Google workspace and digital skills for work;
Ability to understand and work with research and data;
Ability to plan budgets and track expenses;
Strong organisational skills;
Excellent interpersonal and communication skills;
Eye for detail and a focus on improvements.
