We are seeking a highly organised and detail-oriented Administrative and Facility Management Executive to join our team. In this role, you will be responsible for overseeing the day-to-day operations of our facility and providing administrative support within the organization. This includes matters relating to the security, maintenance and services of the office, organisational health and safety procedures, and space management. The ideal candidate will have experience in facility management, as well as strong organisational and communication skills.

Responsibilities
Manage all aspects of facility operations, including maintenance, security, and janitorial services.
Carry out preventive and planned maintenance programmes; and undertake routine inspections of the premises, fixtures, fitting and grounds.
Ensure the facility is in compliance with all applicable laws, regulations, and safety standards.
Coordinate with vendors and contractors to ensure timely completion of maintenance and repair tasks.
Manage office supplies and equipment inventory, and coordinate with IT to maintain office technology systems.
Assist with budget preparation and management, including tracking expenses and preparing reports as necessary.
Perform other duties as assigned by their supervisor(s) or Chief Operating Officer as reasonably required.
Requirements
Bachelor's degree or Diploma in Business Administration, Mechanical, Electrical, Facilities Management or related field is preferred.
3+ years of experience in facility management, operations management, or related field.
Strong organisational and communication skills.
Demonstrated ability to manage multiple projects simultaneously.
Proficiency in Microsoft Office suite and other relevant software.
Knowledge of safety and security protocols and regulations. An Occupational Safety and Health (OSHA) certification from the National Institute of Occupational Safety and Health (NIOSH) is an advantage.
Strong problem-solving and decision-making skills.
Ability to work independently and as part of a team.
